1.2 Our lead practitioner, Dr Dong, holds a Bachelor of Medicine in Traditional Chinese Medicine (BMed TCM) from Tianjin University of Traditional Chinese Medicine, China, and is a full member of the Association of Traditional Chinese Medicine and Acupuncture UK (ATCM), verifiable at atcm.co.uk. Dr Dong is a Doctor of Traditional Chinese Medicine and is not registered with the General Medical Council (GMC). TCM is a complementary therapy practised alongside, not in place of, conventional medical care.

1.3 Han Acuherbs serves patients across Leicester, Blaby, and the surrounding Leicestershire area.

1.4 By using this Website or booking a service with us, you agree to these Terms and Conditions ("Terms"). If you do not agree, you must cease use of this Website and our services immediately.

1.5 A binding contract between you and Han Acuherbs is formed at the point we send you written confirmation of your appointment by your chosen method of contact. Prior to that point, no contract exists.

2. Nature of Services and Medical Disclaimer

2.1 Han Acuherbs provides complementary and holistic healthcare services, including acupuncture, Chinese herbal medicine, cupping therapy, reflexology, Tui Na massage, moxibustion, and body nature care.

2.2 Critical Health Notice: All treatments provided by Han Acuherbs are complementary therapies. They are not a substitute for conventional medical diagnosis, treatment, or care. We do not diagnose medical conditions in the Western clinical sense, nor do we prescribe pharmaceutical medications. You should always consult your GP or a qualified medical professional for any health concerns, before making changes to any prescribed medical treatment, or if you are unsure whether complementary therapy is suitable for you.

2.3 Individual outcomes from complementary therapies vary between patients. Han Acuherbs does not guarantee specific results from any treatment.

2.4 All treatments are delivered in accordance with the ATCM Code of Ethics and Practice, details of which are available at atcm.co.uk.

2.5 Herbal Products — Regulatory Notice: Herbal products and formulas dispensed or sold by Han Acuherbs are not licensed medicines. They are not intended to diagnose, treat, cure, or prevent any disease. They are provided as part of a complementary healthcare consultation and are not a substitute for medical advice or treatment. If you are taking prescribed medication or have a known health condition, always consult your GP before commencing any herbal product.

2.6 Infection Control: All acupuncture needles used by Han Acuherbs are single-use, individually sterile-packaged, and disposed of safely in approved sharps containers in accordance with clinical waste regulations. We operate in compliance with ATCM infection control guidelines.

2.7 Contraindications: Certain conditions and medications may affect the suitability of specific treatments. These include, but are not limited to, the use of anticoagulant medications, the presence of a pacemaker or implanted electrical device, late-stage pregnancy, active blood-borne infections, and recent surgery. You must disclose all such conditions prior to treatment. Our practitioner will carry out a clinical assessment before proceeding.

3. Consultations, Appointments and Consent

3.1 Initial Consultation: An initial consultation is offered free of charge. This is a TCM assessment to understand your health background and determine a suitable personalised treatment plan. The free consultation does not obligate you to proceed with any paid treatment.

3.2 Informed Consent: Prior to your first treatment, you will be asked to complete an Informed Consent Form. Treatment will not commence without your signed consent. You have the right to withdraw consent at any time. For minors, written consent from a parent or legal guardian is required before treatment begins (see clause 3.8).

3.3 Booking: Appointments may be booked by telephone, mobile, WhatsApp, or email using the contact details in clause 1.1. We will confirm your appointment by your preferred method of contact.

3.4 Cancellation by You: We require a minimum of 24 hours' notice to cancel or reschedule an appointment. Cancellations made with less than 24 hours' notice, or failure to attend without prior notice, will incur a cancellation fee of 50% of the scheduled treatment cost. At our sole discretion, we may waive this fee in circumstances of genuine medical emergency, which may require supporting evidence. We will consider individual circumstances on a case-by-case basis.

3.5 Cancellation by Us: In the unlikely event that we need to cancel or reschedule your appointment, we will provide as much notice as possible and will offer an alternative appointment or a full refund of any pre-paid fees.

3.6 Late Arrival: If you arrive late for your appointment, we will endeavour to provide your full treatment where possible, but this may not always be achievable. Your appointment may be shortened or rescheduled at our discretion, and the full treatment fee may still apply.

3.7 Health Disclosure: You are responsible for disclosing all relevant health information prior to and during treatment, including current medications, medical conditions, allergies, pregnancy, and any recent surgery or procedures. Han Acuherbs will not be liable for adverse outcomes arising from your failure to disclose relevant medical information.

3.8 Minors (Under 16s): Patients under the age of 16 must be accompanied by a parent or legal guardian throughout their appointment. Treatment of a minor is subject to the professional judgement of our practitioner, including assessment of Gillick Competence where applicable, and requires express written consent from a parent or legal guardian prior to treatment commencing.

3.9 Right to Refuse Treatment: Han Acuherbs reserves the right to decline or modify treatment where, in the professional judgement of our practitioner, it is clinically unsafe or inappropriate to proceed. This includes, but is not limited to, patients presenting with active infectious conditions, patients on certain medications where treatment poses a risk, and patients who have not disclosed relevant medical information. We also reserve the right to refuse service in the event of aggressive, threatening, or otherwise inappropriate behaviour directed toward our staff or practitioner.

3.10 Aftercare and Adverse Reactions: We will provide written or verbal aftercare advice following each treatment. You are responsible for following this advice. If you experience any adverse reaction or unexpected symptoms following treatment, you must contact us immediately at hanacuherbs@gmail.com or call NHS 111. In the event of a serious emergency, call 999.

4. Fees, Payments and Returns

4.1 Current treatment fees are available upon request by contacting us using the details in clause 1.1 and will be confirmed at the time of booking.

4.2 Payment is due at the time of treatment. We currently accept cash and bank transfer. Accepted payment methods will be confirmed at the time of booking.

4.3 We reserve the right to amend our fees at any time. Any price changes will not affect appointments that have already been confirmed in writing.

4.4 Herbal Products — Returns Policy: In accordance with the Consumer Rights Act 2015, you have a 14-day right to return physical goods in their original condition for a refund. However, this right does not apply to:

  • Herbal supplements or products where the hygiene seal has been broken or the packaging has been opened; or

  • Bespoke herbal formulas prepared specifically for your individual clinical needs, as these constitute personalised goods under Regulation 28(1)(b) of the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.

4.5 Where a valid return is accepted, we will process your refund within 14 days of receiving the returned goods.

4.6 Allergen Notice: Some herbal products may contain allergens. You are responsible for disclosing any known allergies prior to treatment or purchase. Han Acuherbs will not be liable for adverse reactions arising from undisclosed allergies.

5. Gift Vouchers

5.1 Gift vouchers are available from Han Acuherbs. Please contact us directly using the details in clause 1.1 to purchase.

5.2 Gift vouchers are valid for 12 months from the date of purchase unless otherwise stated on the voucher.

5.3 Gift vouchers are non-refundable and cannot be exchanged for cash under any circumstances.

5.4 Gift vouchers have no cash value and cannot be used in conjunction with any other promotion, discount, or offer unless expressly stated at the time of purchase.

5.5 We are unable to replace lost or stolen vouchers where proof of purchase cannot be verified. We recommend retaining your receipt or purchase confirmation.

6. Refer-a-Friend Promotion

6.1 This promotion is open to existing Han Acuherbs patients aged 18 years and over.

6.2 For each new patient referred who completes a paid initial treatment, the referring patient will receive 20% off their next booked treatment session.

6.3 The new (referred) patient must name the referring patient at the time of booking for the referral to be valid. Referrals cannot be applied retrospectively.

6.4 The 20% discount applies to the referring patient's next booked appointment only. It cannot be exchanged for cash and has no monetary value outside of this promotion.

6.5 A maximum of one referral reward per existing patient per calendar month applies.

6.6 This promotion cannot be combined with any other discount, offer, or gift voucher unless expressly stated.

6.7 Han Acuherbs reserves the right to withdraw or amend this promotion at any time without prior notice. Any referrals already confirmed in writing prior to withdrawal will be honoured.

6.8 This promotion is valid while it remains published on this Website.

7. Data Protection and Privacy

7.1 Han Acuherbs is committed to protecting your personal data. We process all personal data, including Special Category health data, in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

7.2 By booking a treatment with Han Acuherbs, you provide explicit consent for us to store and process the health information necessary for your clinical care under UK GDPR Article 9(2)(h) — processing necessary for the provision of health or social care.

7.3 Clinical records are retained for 7 years from the date of your last treatment, or until your 25th birthday in the case of patients who were under 18 at the time of treatment, whichever is the later. This is in line with our professional indemnity insurance requirements and ATCM guidance.

7.4 You may withdraw your consent to marketing communications at any time by contacting us at hanacuherbs@gmail.com. Withdrawal of consent does not affect the lawfulness of any processing carried out prior to withdrawal.

12. Limitation of Liability

12.1 Nothing in these Terms excludes or limits our liability for:

  • Death or personal injury caused by our negligence;

  • Fraud or fraudulent misrepresentation;

  • Any other liability that cannot be lawfully excluded or limited under the Consumer Rights Act 2015 or any other applicable law.

12.2 To the fullest extent permitted by applicable law, Han Acuherbs excludes all liability for any loss or damage arising from:
